Media and advertising ERP: digital transformation of the order-to-cash flow
A media business sold across several channels and billed from memory and spreadsheets. We redesigned the order-to-cash flow and built the ERP that runs it.

The situation
The challenge behind this media ERP project
Sales teams booked space and time across several channels, each with its own rate card and its own way of confirming an order. Changes after booking were common and rarely made it to billing.
Finance chased operations for what had actually run. Client disputes were settled by comparing emails, and publisher payables were reconciled long after the fact.
The business wanted accurate billing and a single view of each campaign from booking to collection.
Why it needed both
Why media ERP needs consulting and engineering together
Advice alone
A neat order-to-cash diagram with no answer for rate cards, insertion changes or publisher reconciliation.
Build alone
A generic invoicing module that could not represent how media is actually sold and changed.
How the engagement ran
Our media ERP approach: four stages, one team
- Stage 1
Diagnose
Followed real campaigns from first booking to final payment, across sales, traffic, billing and collections, and logged every point where data was re-entered.
- Stage 2
Design
A single order record with revisions, rate-card rules, and a defined path from confirmation to invoice and publisher payable.
- Stage 3
Deliver
Booking, scheduling, billing and receivables released in stages on the ERP, with finance integration from the first release.
- Stage 4
Run
Supported live campaigns through peak seasons and adjusted rules as the team found new edge cases.
What the client got
What we delivered: an operating model and a platform that agree
From the consulting side
- One order record that carries every revision from booking to invoice.
- Rate-card governance with clear rules for discounts and approvals.
- A dispute process that starts from the order history, not from email.
From the technology side
- Order, schedule and billing in one system, so invoices reflect what ran.
- Publisher payables linked to the same order for easy reconciliation.
- Receivables and ageing by client and campaign, tied to the ledger.
“Billing used to start with a hunt for the latest version of the order. Now the order is the version.”
Questions
Media ERP: common questions
What does a media and advertising ERP need to handle?
Rate cards, bookings across channels, revisions after booking, scheduling, client billing, publisher payables and receivables, all tied to the ledger.
Why is order-to-cash redesign part of an ERP project?
Media orders change often after booking. Unless the process defines how revisions flow to billing, the software only automates the confusion.
Who supports the system after go-live?
The delivery team continues through live campaign cycles and adjusts rules as new edge cases appear.
